Terms and Conditions - A copy of all terms and conditions and policies and precedures will be emailed along with receipt of payment.
Fees are calculated termly with a typical term being approximately 10 weeks. There will be approximately 40 weeks per year, generally aligned with the Eastern NSW school terms. New members commencing classes partway through the term are charged on a pro rata basis. You are required to pay for the term in advance to secure your place in the class. Our fees also include a Registration and Membership fee listed below.
Registration and Insurance Fee goes straight to Gymnastics NSW before your child’s first class. This ensures your child is registered with Gymnastics Australia and covered by insurance. The Registration fee is valid from the date of payment until the 31st December of that calendar year and is non-refundable.
Membership fee of $10 per term includes an OGC Registration Pack and our ongoing awards system of stickers, award ribbons and medals. Children will receive their registration pack at the next lesson after this fee has been paid. This fee is also non-refundable. Other gymnastics clubs charge a certain fee for the whole year, regardless of the number of terms children do. At Oceanic, we have staggered the fee so that parents pay less if their child only does one or two terms.
Registration Pack
On registering each year, children will be provided with a registration pack. This pack includes a registration T shirt (pink, orange or yellow), an OGC passport for stickers and attendance awards and a reusable drawstring bag. It also includes the Gymnastics NSW membership badge. Children will receive their registration pack at their first lesson after enroling. Once a child has their first passport, they will be given subsequent passports when they achieve their medal.
Re-enrolment for the following term is not automatic. There will be a priority period to allow current members to enrol first for the following term. After the priority period, any new members will be welcome to join. This process is designed to ensure you don’t miss out on a place in the class you want to a new member. Should you leave your re-enrolment until after the priority period, there is no guarantee that a position will be available in your desired class. Payment is required at the time of re-enrolment for the following term and places cannot be held.
Cancelling an Enrolment
If you decide not to continue with your child’s gymnastics classes, a refund will be available for the remainder of the fees minus two weeks to cover our cancelation period. A gymnast may still attend during this two week period. Please note that the registration fees and insurance fees are non refundable.
If a child is unable to attend for three or more consecutive weeks due to illness or injury, a refund for missed classes can be obtained by emailing admin@oceanicgymnastics.com.au with an appropriate medical certificate for the missed period.
Notifications to Medical and Contact Details
It is your responsibility to ensure all contact details and medical information are kept up to date in your account. This will ensure staff can best look after your child and keep you informed. You can do this by heading to www.oceanicgymnastics.com.au and clicking on “My Account”. Sign in and click on “update Profile”.
Private lessons are available at a cost of $40 for 30min and $60 for 1 hour. Please email admin@oceanicgymnastics.com.au for more information.
Drop off and pick up procedure
If you are dropping off your child, they are welcome to wait inside the glass doors of the gym until their class starts. If you are staying, your child should wait with you until their class is called 5 minutes before the class begins.
Children will not be permitted to leave through the glass doors without a parent/caregiver. In the event that a parent is late to collect their child, staff will make contact with parents or emergency contacts after 15 minutes. You are welcome to email if you are running late as we will always check emails first.
Viewing and Waiting Areas
Oceanic Gymnastics Centre comprises of three separate areas; the viewing room, the waiting zone and the gymnastics floor area.
For safety reasons, viewing within the gymnastics floor area or waiting zone is not permitted.
Communication with Staff
If you need to ask a question, give information or gain feedback about your child’s participation in our program, it is important that you do so at the appropriate time and in a respectful manner. For small quick matters, you may talk to the coaches immediately before or after class. Once class has commenced, all coaches are required to supervise their class and are no longer available to speak with parents. Public Toilets
Oceanic Gymnastics Centre does not have any PUBLIC toilets. We have toilets for children taking a class only and in order to protect your child, we do not allow parents or members of the public to enter these facilities. We are working on a plan for this in the future and apologise for any inconvenience this may cause.
Punctuality
Out of courtesy for coaches and other members of the class, please ensure you arrive on time for your child’s lesson.
Illness Injury and Special Circumstances
Parents may be required to produce a medical certificate confirming their child’s fitness for classes or their general health status prior to being permitted to participate. Any children attending class that have a pre-existing injury or teaching consideration must have accurate and up to date information in their account. Medical certificates can be uploaded and added directly to your account.
Acquiring Images of Children
Keeping in line with our child protection policy it is strictly prohibited to take photos or videos of children in the centre without permission. If you have any requests, please see your child’s coach before or after class.
By enrolling your child into a class, you agree to Oceanic Gymnastics Centre using photographs of you/your child for marketing and publicity purposes unless you explicitly request otherwise. Please email admin@oceanicgymnastics.com.au if your child is not permitted to be photographed.
Public Holidays
Classes will not be held on public holidays. Public holidays are taken into account when the fees are calculated for each term.
Safety and Risks
Oceanic Gymnastics Centre reserves the right to refuse any position in class without warning or counseling where a coach feels that an individual presents a risk to the safety of themselves or others. Like any sport or physical activity, participation in gymnastics carries an inherent risk of injury. As many gymnastics activities require inversion (turning the body upside down) the sport by its nature carries a risk. This risk is greatly controlled in a supervised class with a qualified and experienced instructor.
Spotting and Correcting
Spotting is the physical assistance or correction of a skill through the use of the coach’s hands. It is a very important part of gymnastics and it is vital that parents are aware the instructors will be physically assisting your children in the performance or correction of a skill.
Staff changes
On occasions, your child’s regular instructor may be unavailable to take their class. While we do our best to remain consistent, we reserve the right to change instructors without notice.
At OGC, we want to reward children for commitment to an activity. All members of OGC will receive a passport as part of their registration package. Each passport contains four pages. Each page has space for 10 stamps/stickers. Each lesson that a child attends will be stamped in the book with a date stamp by your child’s coach. Children will also receive a sticker to go above the stamp. The stamps/stickers roll over every term so that if your child only attends 7 classes in term 1, they will receive their award on the third class in term 2. It is important that children bring their passport to each class to avoid disappointment.
On a child’s 10th, 20th and 30th stamp/sticker, they will be presented with an award ribbon. On the completion of their passport (40th Stamp/sticker) children will be presented with a medal. Passports do not expire, so please continue using your current passport, each term until completed.
Please Note:
Gymnasts are permitted two make-up classes per term. In order to arrange the make-up class, parents must mark their child absent before the lesson has commenced. Marking your child absent is the only way to create a Make Up class. Once you have marked your child absent you will be permitted to choose a make-up class. If you have signed your child up for a make-up lesson and they can no longer attend, please log on to remove them from this class to arrange a new make up. As classes become full, parents marking their child absent in advance, creates an opportunity for another child to do a makeup in their place. Availability for a make-up class will vary from one day to the next depending on other members registering an absence. If nothing is available, please check again at a later date. Make-up lessons are only available during the current term and unfortunately are not able to roll over to the holidays or the following term. Make up lessons are NOT GUARANTEED, are offered as a courtesy and only permitted if space becomes available.
